This Privacy Policy explains how Elocira (“Elocira,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit our websites, use our web or desktop applications, or communicate with us (collectively, the “Services”).
1. Information we collect
We collect information you provide, including your name, email address, login credentials, support messages, account preferences, and beta or research application details such as your target role, expected interview timing, operating system, browser, meeting platform, interview type, and optional notes. When you use the Services, you may provide interview details, CVs, job descriptions, notes, source links, audio, transcripts, screenshots, corrections, and AI prompts or responses (“User Content”).
We automatically collect limited technical and usage data, such as IP address, browser and device type, operating system, app version, diagnostic events, session activity, and security logs. Our payment provider processes payment-card details; we generally receive transaction, subscription, and billing-status information rather than full card numbers.
If you allow analytics, Google and Meta technologies may collect page URLs, campaign and ad-click identifiers, browser or device information, cookie identifiers, and events such as registration, checkout, and purchase. We do not send interview content, transcripts, CVs, payment-card details, or passwords to these advertising tools.
2. How we use information
We use information to assess and administer beta or research participation; contact applicants about that participation; provide transcription and AI guidance; personalize interview suggestions; store, synchronize, and review sessions; authenticate accounts and devices; process purchases; provide support; maintain security; diagnose and improve the Services; communicate service or policy changes; and comply with law.
Where applicable, our legal bases include performing our contract with you, your consent, compliance with legal obligations, and our legitimate interests in operating, securing, and improving the Services. You may withdraw consent where processing relies on consent, without affecting earlier processing.
3. Audio, transcripts, screenshots, and AI processing
Capture starts only when you initiate or resume it. The desktop application may process microphone and system audio and transmit audio or text to our transcription providers. Transcripts, screenshots, uploaded materials, and recent conversation context may be sent to AI providers to generate guidance and reviews. Provider processing and retention can vary by feature and configuration.
You are responsible for notifying interview participants and obtaining every consent required by applicable law and organizational policy before recording, transcribing, capturing, or submitting another person’s information. Do not capture sensitive, confidential, or third-party information unless you are authorized to do so.
4. When we share information
We may share information with vendors that help us provide hosting, storage, transcription, artificial intelligence, authentication, email, analytics, customer support, and payment processing. They may process information only for contracted purposes and subject to appropriate safeguards.
We may also disclose information when required by law; to protect users, the public, our rights, or the integrity of the Services; in connection with a merger, financing, acquisition, reorganization, or sale of assets; or at your direction. We do not sell personal information for money. We do not use User Content to advertise to you or permit third parties to use it for their own advertising.
5. Retention and deletion
We retain information only as long as reasonably necessary for the purposes described here, including while your account is active and as needed for security, dispute resolution, tax, accounting, and legal obligations. You can delete certain sessions, screenshots, and content within the Services or ask us to delete your account. Deleted data may remain temporarily in backups or where retention is legally required.
6. Security and international transfers
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee absolute security, so you should use a strong, unique password and protect your devices and account credentials.
We and our providers may process information in countries other than yours. Where required, we use recognized transfer mechanisms and safeguards. Local privacy laws in those countries may differ from those where you live.
7. Your choices and privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a portable copy of personal information, and to appeal a denied request or complain to a regulator. You may manage content in your account or email us to submit a request. We may verify your identity and may retain information where an exception applies.
You can control capture through the Services and can decline optional communications. Analytics and advertising tags remain off unless you select “Allow analytics.” Your choice is stored for one year in the elocira_tracking_consent cookie and applies across our website and web app. You may withdraw it by deleting that cookie or site data in your browser; declining does not affect required authentication or payment features.
We do not sell personal information for money. Where applicable law treats disclosure to advertising platforms for measurement or retargeting as “sharing” or targeted advertising, you can opt out by declining analytics.
8. Children, third-party services, and changes
The Services are not directed to children under 18, and we do not knowingly collect their personal information. Links and integrations operated by others are governed by their own privacy practices.
We may update this policy as the Services or law changes. We will post the revised version and update the effective date, and will provide additional notice when required.
